01 / Set your day rate

Enter your annual pay target before personal tax, your business costs and the days you can actually bill. Unpaid quoting, admin and time off reduce those days. Choose your own business margin, then select Save my settings.

02 / Price the job

Add the time you expect to spend, materials at cost, and extra costs such as parking or waste. Do not add an expense again if it is already in your annual costs. Add a contingency if needed. The tool applies your margin once.

If you are not VAT registered, include VAT you pay in your costs. If registered, exclude recoverable VAT, include any non-recoverable VAT and choose the VAT rate applicable to your job. Check HMRC guidance.

03 / Check one extra day

The customer price stays the same. The tool adds another day's pay target and overheads, plus any delay costs you enter. A negative surplus means the price no longer covers your full pay target and allocated costs. All earnings figures are before personal tax.

04 / Create the customer quote

Add your business and customer details, the work included, exclusions and payment terms. Preview the quote, then select Print / Save as PDF. On phones, save a PDF through the available print/share options. Turn off browser headers and footers for a cleaner copy. Your internal costs and margin do not appear on the customer copy.

£36,000 pay target + £12,000 annual costs over 200 billable days gives a £240 cost base. At a 20% margin, the commercial day rate is £300. These are made-up figures, not market rates.
